Each learner can be assigned a unique payment reference for EFT payments. Recognised references can help the system match transactions to learner accounts, while unclear or unmatched transactions can be flagged for staff review.

Fee management does not require an online payment gateway. Schools using EFT can use learner payment references and bank-statement reconciliation. Online card payments are an optional additional integration, and provider charges remain separate.

School-owned accounts

Where possible, the school owns and pays for its third-party accounts directly while AutoM8 assists with configuration and integration. AutoM8 does not normally fund third-party services on behalf of the school.

Where paid infrastructure is required, deployment may depend on the relevant provider accounts being active and funded.

Data and system ownership

Ownership, licensing, handover and source-code arrangements for custom school systems are defined in the individual project agreement. Your school retains ownership of its own business, learner, parent, staff and academic data.

Security and privacy that reflect each role

Unlike shared spreadsheets and chat histories, a proper school system can use role-based access so teachers see what they are authorised to see, parents see information linked to their children, students access appropriate academic content and administrators have broader authorised controls.

Systems can include secure authentication, HTTPS, access permissions, protected databases, backups and security updates. They are designed with privacy and POPIA considerations in mind; specific controls depend on the agreed requirements.

Does every school need all three portals?

No. AutoM8 can build a Staff Portal only, Staff + Parent, Staff + Student, or a complete three-portal system.

Why are custom systems priced from a starting amount?

Every school's requirements are different. The final quotation depends on the agreed features and complexity.

Do custom school systems require monthly payments?

The custom development fee is normally once-off. Schools can select optional System Care where required. Third-party infrastructure charges remain separate.

What are the R15, R25 and R35 packages?

These are AutoM8's existing standard school-management subscription options and are separate from bespoke custom system development.

Can we add a Parent Portal later?

Yes. AutoM8 can scope future expansion when the school is ready.

Can the system include assignments?

Yes. Student/LMS functionality can include assignments, learning materials and submissions depending on the agreed project scope.

Can parents have multiple children under one account?

Yes, this can be implemented where required.

Who pays for hosting and SMS?

Hosting, databases, SMS, domains and other third-party provider costs are separate and normally paid by the school.
