Why starting prices—and how phased development works

Custom school systems vary significantly in scope. A basic staff portal is a very different project from admissions, parent accounts, fee management, document workflows, automation and multiple portals. The prices shown are starting points, not an automatic promise of every possible module.

Where appropriate, larger systems can be developed in phases so the school does not need to implement every module at once.

Harmony Learning Institute demonstrates the type of connected system AutoM8 can build. It is proof of technical capability, not evidence of these prices or Harmony's commercial agreement.

After launch, choose optional learner-band care and support. This is separate from standard subscription pricing.

Custom quotation

Care is quoted for the school's requirements.

For once-off custom-system clients only. These are flat learner-band support amounts—not an additional per-learner charge and not added to the separate R15/R25/R35 standard subscription tiers. Support is optional; without it, the school takes responsibility for ongoing care after handover.
Active learner count and the 5% grace allowance

The learner count is based on actively enrolled learners. Archived, former or withdrawn learners and applicants who have not yet enrolled are excluded. A learner being absent or a parent not using the portal does not reduce the monthly learner count.

A school may temporarily exceed its current learner band by up to 5% during the school term without an immediate price increase. Learner numbers are reviewed before the next school term. If enrolment remains above the band at that review, the next pricing band will apply from the new term.

For example, a school in the 1–150 band may temporarily grow to approximately 157 learners during the term before pricing is reviewed.

This is reasonable ongoing care of the existing system, not unlimited support. Support requests are prioritised according to urgency and service impact. Critical system issues receive priority; routine requests may be handled during normal support hours. No guaranteed response times are promised.

New development and third-party costs stay separate

The monthly learner-band fee does not include major new development: a new portal or module, payment system, major workflow redesign, new business process, significant reporting system, large dashboard redesign, major integration, major data migration or new third-party platform integration.

New modules and substantial functionality are scoped and quoted separately before development begins.

Hosting, cloud storage, SMS, WhatsApp APIs, email providers, payment gateways, domain renewal, AI/API usage and other paid integrations are not automatically included.

Third-party service costs are shown separately so the school can clearly see which fees belong to AutoM8 and which belong to external providers.

Example: a private school with 300 actively enrolled learners

A complete custom school system starts from R29,500 once-off, with optional ongoing AutoM8 care of R2,500/month. Hosting and external services are charged separately according to the actual services used.

The R2,500 monthly support fee is a flat learner-band amount. It is not R2,500 plus an additional per-learner charge. This is approximately R8.33 per learner per month, but the school receives one fixed R2,500 monthly AutoM8 support invoice.

External provider costs stay transparent.

AutoM8 does not hide third-party provider charges inside development or support pricing.

School-owned accounts

Where possible, the school owns and pays for its third-party accounts directly while AutoM8 assists with configuration and integration. AutoM8 does not normally fund third-party services on behalf of the school.

Where paid infrastructure is required, deployment may depend on the relevant provider accounts being active and funded.

Data and system ownership

Ownership, licensing, handover and source-code arrangements for custom school systems are defined in the individual project agreement. Your school retains ownership of its own business, learner, parent, staff and academic data.

Security and privacy that reflect each role

Unlike shared spreadsheets and chat histories, a proper school system can use role-based access so teachers see what they are authorised to see, parents see information linked to their children, students access appropriate academic content and administrators have broader authorised controls.

Systems can include secure authentication, HTTPS, access permissions, protected databases, backups and security updates. They are designed with privacy and POPIA considerations in mind; specific controls depend on the agreed requirements.

Questions about school management systems.

Does every school need all three portals?

No. AutoM8 can build a Staff Portal only, Staff + Parent, Staff + Student, or a complete three-portal system.

Why are custom systems priced from a starting amount?

Every school's requirements are different. The final quotation depends on the agreed features and complexity.

Do custom school systems require monthly payments?

Custom development is once-off. Optional learner-band care starts at R1,500/month for 1–150 actively enrolled learners: 151–300 R2,500, 301–500 R3,500, 501–800 R5,000, and more than 800 by custom quotation. Standard R15/R25/R35 per-learner subscriptions are a separate model. Third-party costs and major new development remain separate.

What are the R15, R25 and R35 packages?

These are AutoM8's existing standard school-management subscription options and are separate from bespoke custom system development.

Can we add a Parent Portal later?

Yes. AutoM8 can scope future expansion when the school is ready.

Can the system include assignments?

Yes. Student/LMS functionality can include assignments, learning materials and submissions depending on the agreed project scope.

Can parents have multiple children under one account?

Yes, this can be implemented where required.

Who pays for hosting and SMS?

Hosting, databases, SMS, domains and other third-party provider costs are separate and normally paid by the school.

Does fee management require online card payments?
